# Choosing how invoices are made

For each of your workflows you choose how invoices are made when you send a sheet: none, Zipwire's built-in PDF, or your accounting software. It is all on one tab and one Save button.

Every workflow has its own **Invoicing** tab. It is where you decide what happens when you send a sheet on that workflow: no invoice, a PDF invoice made by Zipwire, or an invoice created in your accounting software.

## Finding the tab

Open **My workflows** and look at the **Invoicing** column of the workflow you want. It shows what the workflow is set to, with a badge:

* **On**: invoices are being made when you send a sheet.
* **Needs setup**: you have chosen a way of making invoices, but something it needs is missing.
* **Off**: no invoices are made.

Click the cell, or open the workflow and choose its **Invoicing** tab.

Xero is chosen but not connected yet, so the tab asks you to connect it first.</p></figcaption></figure>

## One choice, one Save

Under **How should invoices be made?** you pick one of:

* **Don't make invoices**
* **Built-in PDF**
* An **accounting provider** you can connect, such as Xero or FreeAgent

Fill in what the choice asks for and press **Save** at the bottom. Nothing is changed until you do. While you have unsaved changes the bar at the bottom of the tab says so; once saved it turns green and says **Saved**, until you change something else.

If something the choice needs is missing, the bar tells you what to do first (for example, **Connect Xero first**) and Save stays switched off.

## The built-in PDF

Zipwire can make a PDF invoice and attach it to the sheet. It needs two things.

1. **Your company.** Each invoice shows who issued it: your company's name, address and how you are registered for tax. If you haven't set this up, the tab says **Set up your company first** and has a button that takes you to your company details. Save them there, then use **Return to workflow invoicing** at the bottom of that page to come back. You set it up once and it is used for all your workflows.
2. **Who to invoice.** Enter the contact, company name, and, if your client needs them on the invoice, an address and tax registrations.

You can also choose a **payment method** to print on the invoice. See [Payment Methods](/zipwire-approve/unboxing-key-concepts/payment-methods.md). If you don't, the invoice won't say how to pay.

## An accounting provider

Choose the provider and, if it isn't connected yet, press **Connect**. You are taken to the provider to allow access, then brought back to the tab with that provider still selected, and anything you had typed is put back as you left it.

Once connected, the tab asks for what that provider needs, for example your **organisation** (if you have more than one), the **contact** invoices go to, and a **service item**. Required ones are marked with a red asterisk. Each list is fetched from your accounting software and shows a short loading note while it arrives; the lists are in A to Z order. A choice that depends on another waits for it: you pick the organisation before the contact.

If a list can't be loaded, the tab says why and offers **Try again**. If the connection has lapsed, it offers **Reconnect** instead.

{% hint style="info" %}
If the contact or product you need isn't listed, create it in your accounting software first, then come back and choose it.
{% endhint %}

## Billing

The **Billing** section holds the terms invoices are based on: billing unit (hourly or half-day), currency, rate, the maximum units per day, the standard working hours, and the date the terms started.

* On a workflow you created yourself, you can edit them.
* On a workflow that comes from an assignment, they are set by whoever assigned you, so they are shown for reference and can't be changed.

The maximum units per day can't be more than fits in 24 hours: up to 24 if you bill hourly, but for half-days it depends on your standard working hours (six half-days for an 8-hour day).

## Workflows from an assignment

If your agency or client set you up on an assignment, they decide whether you may make your own invoices at all. If they haven't allowed it, the tab says so and you can't turn on the built-in PDF or a provider; you can always choose **Don't make invoices**. Who the invoice is addressed to also comes from them.

For the full picture of how this fits with the billing plan and the workplace's own details, see [Understanding invoicing](/zipwire-approve/understanding-invoicing.md).
